Position Summary
The Executive Assistant provides high-level administrative and operational support to nine senior executives across the organization.
This role requires exceptional judgment, organizational excellence, and the ability to manage complex, shifting priorities in a fast‑paced environment. The EA acts as a strategic partner - anticipating needs, streamlining workflows, and ensuring executives are fully supported and equipped to focus on organizational priorities.

What You'll Do
- Executive Support
- Manage complex calendars across multiple time zones for nine executives, ensuring proactive prioritization and alignment with strategic goals.
- Coordinate and schedule internal/external meetings, board-related sessions, customer meetings, candidate interviews, and cross-functional engagements.
- Prepare executives in advance of meetings, including compiling briefings, agendas, presentations, and relevant background materials.
- Handle correspondence on behalf of executives, including drafting communications, triaging requests, and tracking follow‑ups.

- Develop and maintain streamlined workflows across the leadership team to improve efficiency and reduce administrative bottlenecks.

- Cross-Functional Coordination

- Partner with People, Finance, Legal, Communications, and other teams to support initiatives, timelines, and deliverables.
- Support cross-functional projects by gathering inputs, tracking milestones, and helping executives stay on schedule.

- Handle sensitive information with the highest level of discretion.
- Represent executives with professionalism, polish, and proactive communication - both internally and externally.
- Draft, edit, and proofread executive communications, presentations, and documents.
- Special Projects
- Support organizational initiatives as assigned by the CPO, including culture programs, talent-related efforts, and strategic planning cycles.

The salary range listed is a reasonable estimate of the compensation range for this role based on national salary averages. The actual salary offer to the successful candidate will be based on job-related education, geographic location, training, licensure and certifications and other factors. You may also be eligible to participate in annual incentive, commission, and/or recognition programs.

Overview

Key Responsibilities
Export Classification & Licensing
Perform jurisdiction and classification determinations for spacecraft, satellites, subsystems, components, and technical data under ITAR (including USML Category XV) and EAR (including 9A515, 9E515, and related 600-/500-series controls), with documented rationales consistent with regulatory text and agency guidance
Prepare, submit, and manage export authorizations including TAAs, MLAs, DSP-5/DSP-73 licenses, and BIS licenses via SNAP-R, supporting full program lifecycle from design through end-of-life
Analyze and implement license provisos and conditions, manage reexport/retransfer requirements, and maintain licensing records across multiple concurrent programs
Coordinate with engineering and legal to resolve complex classification questions and escalate as appropriate
Regulatory & Stakeholder Interface
Interface directly with DDTC (via DECCS) and BIS on license applications, proviso clarifications, and regulatory inquiries as directed by compliance leadership
Advise cross-functional stakeholders on export control requirements impacting technical data releases, program execution, international collaboration, contract formation, and foreign party engagements
Collaborate with engineering, business development, legal, programs, security, contracts, and supply chain teams to integrate export control requirements into spacecraft program planning and execution
Support export control aspects of space insurance processes, including reviewing disclosures to brokers/underwriters and coordinating licensing for launch risk and in-orbit operations coverage
May support functions aligned with Empowered Official responsibilities; does not independently exercise EO authority unless formally designated
Compliance Program Support
Support implementation of Lanteris export control policies, procedures, and training programs. Develop and maintain associated databases, reports and documentation
Assist with internal audits, assessments, continuous improvement initiatives, and compliance with CUI handling requirements under DFARS 252.204-7012 where applicable
Assist with supplier risk evaluation in conducting thorough due diligence during supplier onboarding and identify potential disruptions
Contribute to the development and maintenance of Lanteris' export compliance program
Assists in the classification of Lanteris products, software and technologies according to import and export control requirements
Minimum Requirements
Must be a U.S. citizen with eligibility and willingness to obtain a security clearance

Donor Support Associates provide support to the small-dollar donors who donate through ActBlue. These temporary positions are expected to last until mid-November 2026.

We have an excellent opportunity for a Development Coordinator in Jackson, MS. The coordinator will focus on the data and administrative support for core fundraising events, including all database management. Duties include proper entry of and all data to support the events.
This is a hybrid position.

Responsibilities
- Ensure accuracy and adherence to latest data entry best practices in our point applications (Luminate/TeamRaiser, Greater Giving, GiveSmart, Tableau). This includes FMV, completion of data points, mobile cause, online bidding services, and event guest lists.
- Assist Fundraising Partners by finalizing closed opportunities and sharing data quality issues in Salesforce.
- Assist Fundraising Partners on any reports needed using the application system reports.
- Provide customer service requests (i.e., software corrections, database receipting, pulling constituent records)
- Troubleshooting with external customers
- Periodic traveling within the designated markets with some evenings and weekends
- This is a hybrid position.
In this role, you will report to the Regional Senior Director and will work with a team of fundraisers to manage the databases of the Jackson markets.
Qualifications
- High School Diploma/GED, Bachelor's Degree (or equivalent combination of education and experience) preferred.
- 3 years of prior administrative and database management and/or non-profit experience or equivalent experience.
- Excellent computer skills (Word, Excel, PowerPoint, Publisher, Outlook).
- Ability to work independently, prioritize and handle multiple tasks while manage multiple territories simultaneously.

The Coordinator will provide advanced administrative support to professional fundraising and community health staff, and coordinate the logistics of events. Department Summary
A wide range of student- and faculty-centered services are the cornerstone of the Libraries' integral role in the University of North Texas community. The Special Collections department collects and preserves rare and unique research materials for use by students, scholars, and the public. Special Collections offers unique experiences to students and faculty to engage with primary sources, rare books, arts, and artifacts. Faculty in a variety of disciplines including arts, humanities, and sciences schedule class visits to Special Collections each semester. Position Overview
This position will support the work of the Acquisitions, Processing, and Preservation units at the Research Collections Library. Oversee accessioning of all incoming archival collections in support of UNT Special Collections’ collection acquisition program. - Serve as an office administrative point of contact for special projects supporting office and corporate teams (HR, Marketing, Accounting, IT), as needed.
- Participate as a member of the Administrative Team, including sharing work across offices and supporting team initiatives.
- Complete additional administrative tasks and projects assigned.
What We’re Looking For
- Two or more years of administrative, office support, or coordinator experience.
- Strong organizational and time-management skills with the ability to prioritize and manage multiple tasks.
- High level of professionalism, attention to detail, and customer service orientation.
- Ability to work independently while collaborating effectively with producers and brokers, leadership, and administrative peers.
- Strong Proficiency in Microsoft Office applications (Outlook, Excel, PowerPoint)
- Experience using and troubleshooting common office technology, including printers, scanners, and multifunction devices
- Proactive, adaptable, and comfortable working in a fast-paced, team-oriented environment.
